1. Agency role
Travel with Grace & Joy is an independent travel advisory affiliated with Travelmation, LLC. We act as an intermediary between you and the airlines, cruise lines, hotels, resorts, tour operators, transfer companies and other suppliers that provide your travel arrangements. Those suppliers are independent businesses and are solely responsible for delivering the services you purchase, and their own terms, conditions and liability limits apply to your booking.
2. Quotes and pricing
All quotes are subject to availability and are not guaranteed until a deposit is received and the supplier confirms your reservation. Prices, taxes, fuel surcharges and government fees may change without notice prior to final payment. Promotional rates may have restricted availability, blackout dates or additional supplier conditions.
3. Deposits and final payment
Deposit amounts and final payment deadlines are set by each supplier and will be stated in your proposal or confirmation. Failure to make a payment by the stated deadline may result in automatic cancellation of your reservation and forfeiture of amounts already paid. It is your responsibility to note and meet all payment deadlines; reminders are a courtesy, not a guarantee.
4. Changes and cancellations
Changes and cancellations are governed by the terms of the applicable supplier and may incur significant penalties, up to 100% of the amount paid. Any professional planning or service fees charged by Travel with Grace & Joy are earned upon payment and are non-refundable, and are separate from supplier penalties.
5. Travel insurance
Travel protection is strongly recommended for every booking and may cover trip cancellation, interruption, delay, medical care, evacuation and baggage. If you decline coverage, you accept full financial responsibility for any loss. Coverage terms, exclusions, pre-existing condition waivers and purchase deadlines are determined by the insurer, not by us.
6. Travel documents
You are responsible for ensuring that every traveler holds valid documentation, including passports (generally valid at least six months beyond your return date), visas, entry permits, proof of vaccination or health documentation where required, and that all names provided match those documents exactly. Name corrections after ticketing may incur fees or be impossible. Denied boarding or entry due to improper documentation is not the responsibility of Travel with Grace & Joy.
7. Health, safety and fitness to travel
You are responsible for assessing whether your chosen itinerary is suitable for your health, mobility and fitness. Please advise us of any accessibility needs, medical conditions or dietary requirements in advance so we can request appropriate accommodations, which remain subject to supplier availability.
8. Group and wedding bookings
Group and destination wedding arrangements may be subject to contracted minimums, room block release dates, attrition penalties and event minimums. The group leader or wedding couple signing a supplier contract is responsible for its financial terms. Individual guests are responsible for their own payment deadlines and documentation.
9. Client information and privacy
Information you submit through our forms is used to prepare quotes, complete bookings and communicate with you about your travel. It is shared with suppliers only as needed to fulfill your arrangements. See our privacy policy for details on how information is stored and used.
10. Newsletter communications
By subscribing to The Passport List you consent to receive periodic marketing emails. You may unsubscribe at any time using the link in any email, which does not affect communication about active bookings.
11. Limitation of liability
To the fullest extent permitted by law, Travel with Grace & Joy is not liable for personal injury, property damage, delay, loss, inconvenience or additional expense caused by supplier default or negligence, weather, acts of God, civil unrest, strikes, pandemics, border closures, mechanical failure, or any other event beyond our reasonable control.
12. Acceptance
Submitting a form, paying a deposit or accepting a proposal constitutes acceptance of these terms and conditions on behalf of all travelers in your party.
